How to import a bank statement into QuickBooks Online

Updated October 2026

Bank feeds in QuickBooks Online don't always cover what you need: older history, a new client's backlog, or an account whose bank isn't connected. For those, QuickBooks Online lets you upload transactions yourself. It accepts two kinds of upload:

  • Transaction files: .qbo, .ofx, .csv or .txt.
  • Statements: PDF or image files (JPG, PNG, HEIC). QuickBooks extracts the transactions with AI, and you review them side by side with the statement before saving.

Which option to use

OptionGood forWatch out for
.qbo or .ofx fileMost imports. No column mapping, dates and amounts are unambiguous.350 KB and 1,000-line limits apply.
.csv fileData you've edited in a spreadsheet first.Must have exactly 3 or 4 columns; you map them during upload.
PDF statement uploadAn occasional statement, when you have time to review it.You check the extraction yourself, row by row; some items may wait for review by Intuit's team.

Converting the PDF first is worth it when you have several statements, need the same data in Excel too, or want each row checked against the balance the bank printed before anything reaches QuickBooks.

Step by step: upload the file

  1. Go to All apps, then Accounting, then Bank transactions.
  2. If you see a tile for the account you're importing into, select it.
  3. Open the Link account dropdown and select Upload from file. If the account isn't connected to online banking, you may see Upload transactions manually instead.
  4. Select Drag and drop or select files, choose your file, then select Continue.
  5. In the QuickBooks account dropdown, pick the account. If it doesn't exist yet, select Add New. Then select Continue.
  6. For CSV files: match each column to the QuickBooks field (date, description, amount) and confirm the date format, then select Continue.
  7. Select the transactions you want to import, select Continue, then Yes and Done.

The transactions appear in the For review tab, where you categorize, match or add them.

File rules from Intuit

  • Files must be 350 KB or smaller and contain no more than 1,000 lines. For a long history, upload a shorter date range at a time.
  • CSV files need either 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit).
  • Use one date format for every row, leave zero-value amount cells blank, and remove the word "amount" from Credit and Debit headers.
  • Files must be in English.

Avoiding duplicates

QuickBooks advises choosing the date range carefully. For an account that already has transactions, start the file the day after the last one. For a new account, start from the opening balance date. If your bank feed already pulled some of the same dates, remove the overlapping rows before uploading, or exclude the duplicates in For review.

Use the statement's opening balance as the account's opening balance, not as a transaction. Importing it as a deposit is a common cause of reconciliations that are off by exactly the opening amount.

Common errors (QuickBooks Desktop)

Error OL-222 when importing a .qbo file

QuickBooks Desktop couldn't read the Web Connect file. The most common cause reported in Intuit's community is a special character, usually an ampersand (&), in a description. Back up your company file, then re-create or clean the file. Unclip writes these characters in the escaped form QuickBooks expects.

"Unable to verify financial institution"

The bank identifier inside the .qbo file isn't one QuickBooks recognizes. Re-create the file with a recognized bank selected.

Use File, then Utilities, then Import, then Web Connect Files, and choose the existing account when asked.

Check before you reconcile

Once imported, run a reconciliation for the statement period. The statement's closing balance should equal the balance in QuickBooks. If one row was misread, by you or by any extraction tool, this is where you'll find out. Unclip checks every row against the bank's printed running balance before you download, so the file you import already adds up.
