Why QBO to IIF

A QBO import lands transactions in the bank feed for review. An IIF import posts them directly, to named accounts, which some firms prefer for loading history or for company files where bank feeds are switched off. Converting the bank's own QBO file keeps the dates, payees, memos and check numbers it contains.

Importing the IIF file into QuickBooks Desktop

  1. Under Options, type the bank account name as it appears in your Chart of Accounts, and the offset account for the other side of each entry.
  2. File, then Utilities, then Import, then IIF Files. Choose the downloaded file.
  3. Money in becomes a DEPOSIT, money out a CHECK, each with a balancing SPL line.
  4. Back up the company file first. IIF imports have no single undo.

How the conversion works

1. Read

Every STMTTRN block is read: date posted, amount, payee, memo, check number and the bank's transaction ID. OFX 1 (SGML) and OFX 2 (XML) both work, as do credit card files.

2. Check

Rows without a readable date and amount are counted and reported, never silently dropped. Totals in and out and the period are shown so you can compare them with the source before importing.

3. Write

A balanced TRNS and SPL pair per transaction, tab-separated, with the account names you choose and CLEAR set to N.

Starting from a PDF statement? The statement converter reads it and checks every row against the printed balance.

Questions

Should I use QBO or IIF?

Use the QBO file if you want to review and categorise in the bank feed. Use IIF to post directly to accounts, for example when loading several years of history.

Can each row go to a different offset account?

Not yet. All rows use the offset account you choose; re-categorise in QuickBooks or convert in batches.

Does QuickBooks Online read IIF?

No. For QuickBooks Online, import the .qbo file itself.
